About the Job
As an Administrative Assistant for Americas, you will responsible for a variety of administrative duties. The right candidate must have experience working in a fast-paced and dynamic environment. The candidate must be able to work with high integrity and efficiency, monitor complex plans and schedules, maintain the confidentiality of information and use discretion and judgment in discussing information about Akamai. The qualified candidate will be action-oriented with strong organizational, planning, time management, and pre-emptive skills. This role requires the ability to work effectively under pressure, work independently as well as on a team, and maintain the confidentiality of the office. The successful candidate will have a strong work ethic, the ability to be discreet with confidential information and a high attention to detail.
Responsibilities:
Responsibilities:
* The primary objective of this position is to provide support and enable efficiencies for members of the Americas leadership team through administrative support.
* Manages all aspects of client VPs calendar, being attentive to priorities and optimal use of time.
* Coordinate and arrange all domestic US and global travel including airline reservations, ground transportation and accommodations.
* Coordinate team meetings & large scale event plans and logistics - manage all the scheduling and coordinate meetings, including facilities and meeting rooms.
* Track and take meeting notes to enable project and communication management.
* Create and maintain organizational charts, distribution lists, communication cadences and sales reports.
* Provide administrative support to multiple VP’s to include travel requests, calendar management, expense reports, customer visit coordination and other ad-hoc duties as required.
* Work closely with other Administrative and Executive Assistants, mainly with the Executive Assistant to the General Manager, SVP of Americas for calendar coordination, meeting facilitation, etc.
* Office administration duties which may include: Working with corporate services/facilities on ordering of office supplies; support for overall office operations, copier/printer support, office security.
Qualifications:
Basic Qualifications
* Minimum of 3 years of prior experience in similar role
* Minimum of 3 years of expertise with Microsoft Office products, including Outlook, Excel, Word, PowerPoint and Organizational Chart creation
* Minimum of 2 years experience supporting multiple Sr. Executives
Desired Qualifications
* Experience working within a fast paced sales environment, knowledge of SalesForce.Com
* Flexible and proactive with ability to successfully accept change.
* Ability to interact with staff at all levels in a fast paced environment.
* Ability to work under pressure of deadlines.
* Excellent organizational and multi-tasking skills with a hands-on approach.
* Ability to maintain a professional demeanor in a fast-paced environment, easily handling and overcoming scheduling demands/conflicts and multiple simultaneous requests.
* Ability to work in a highly ambiguous environment.
* Strong verbal and written communication skills.
* Professional demeanor, dependable, and able to maintain confidential information.
